Where should I store my handheld programmer?
The handheld is temperature sensitive; it should be stored in a dry, temperature controlled room.

Is my machine capable of faxing the credit card settlement report and/or audit report to 2 different fax numbers?
No, the machine is capable of faxing reports to 1 programmed fax number.

Is my machine capable of emailing the credit card settlement report and/or audit report?
No.

The machine isn’t detecting credit card swipe
Make sure there is not an obstruction inside the reader (coin, gum wrapper, etc…). Slide a Visa/MasterCard into the card reader as far as it will go; only 2 card numbers should be visible. If more than 2 numbers can be seen, there is an obstruction inside the reader that will need to be removed. Contact Hamilton for further troubleshooting.

I normally receive a credit card settlement report and/or audit report nightly from my machine; I haven’t received the last day or two?
There could be a post error, in order to receive the fax the machine must settle. Plug the handheld in and check the last post date, if the last post date is current, it may be necessary to generate a history report to be re-faxed. If there is a post error, contact Hamilton’s credit card support.

My machine sticks on “checking credit” for 4 ½ minutes and then says “timeout pc”, what does that mean?
Timeout PC means the controller is waiting for a response from the computer. Power down the ACW and unplug the power supply that’s plugged into the electrical outlet, wait 30 seconds and power everything back up. Wait about 1 minute and try another credit card transaction. If problem continues, contact Hamilton’s credit card support.

I have a machine that has a credit card reader on it, how do I get it setup to accept credit cards?
A merchant account must be setup using TSYS/Vital/Visanet as the processor. The merchant account information must then submitted to Hamilton Mfg.

My machine doesn’t have a credit card reader on it, how do I add credit cards as a payment option?
Hamilton offers credit card retro-fit kits that be installed onto your existing Auto Cashier.

What is the name of the credit card software my Hamilton uses?
HCS (Hamilton Credit Software)

What credit card processor can I use with my Hamilton?
TSYS/Vital is the only credit card processor that can be used.

Where do I submit the completed Merchant Setup Sheet(s)?
Completed Merchant Setup Forms need to be submitted to Hamilton by either fax or email.

What is the process of getting the merchant information inputted into my machine?
Once Hamilton receives your completed Merchant Setup Form, a Hamilton representative will contact you to schedule an appointment to download the information into your terminal. The download requires someone to be at the ACW or Changer with the handheld programmer and is done via the phone line.

After submitting a Merchant Setup Sheet to Hamilton, how long does it take for a Hamilton representative to contact me?
2-4 days, make sure the Merchant Setup Form has your contact information on it.

If I sell my car wash, do I need to do anything with the credit card side of my machine?
The new owner will need to get their merchant information downloaded into the terminal. If they don’t have their merchant information available at the time of closing, arrangements should be made if the terminal shall continue accepting credit cards or be disabled by disconnecting power to the card reader.

I’m in the process of purchasing a wash and the Hamilton(s) have credit card as a payment option, is there anything I need/should do?
A merchant account using TSYS/Vital as the credit processor should be setup. Arrangements should be setup as when your merchant information should be put into the terminal. Call Hamilton Credit card support to schedule an appointment for the change to be completed.

If I change merchant providers or banks, do I have to change the merchant information that’s in my Hamilton?

Is there a fee to change the merchant information in my machine if I change merchant providers or banks?
There is a fee of $100 per auto cashier/changer.
